This Service Is for You If

Whether you are a sole trader managing your own records or a director of a limited company, clean monthly bookkeeping is the foundation everything else depends on.

🏗️
You have just formed a company
You want the books set up correctly from the first transaction — not reconstructed six months later.
📉
Your current books are behind
You have months of unreconciled bank activity and want a clean restart with ongoing monthly support.
🧾
You are VAT-registered
You need accurate input and output VAT tracked each month so your bi-monthly VAT3 return is straightforward.
🛒
You sell online
Your books involve Shopify payouts, Amazon settlements, Stripe fees or marketplace reconciliation alongside bank feeds.
📊
You need management information
You want to see monthly profit and loss and cash position — not discover them at year-end when it is too late to act.
🏦
You are applying for a grant or loan
You need current, signed management accounts or a clean general ledger to support an Enterprise Ireland or bank application.

How Cloud Accounting Changed Bookkeeping for Irish Business Owners

A decade ago, keeping your books meant a filing cabinet of receipts, a spreadsheet that was always a month behind, and a year-end bill from your accountant for reconstructing records you had lost track of. Cloud accounting changed all of that — but only if it is set up correctly and maintained properly.

⏱
Admin
Biggest time drain for SMEs
Business owners consistently identify bookkeeping and financial admin as one of their biggest time costs. Cloud platforms and automated bank feeds significantly reduce that burden — Forti handles the bookkeeping and reviews what the software cannot.
📉
Automated
Significantly less manual entry
Live bank feeds, automated receipt matching and recurring transaction rules eliminate the bulk of manual data entry. What previously required manual bank statement entry is matched and coded automatically — reviewed by Forti rather than entered from scratch.
Visibility into your business
With books maintained monthly in a cloud platform, you can see your profit and loss, outstanding invoices, VAT position and bank balance at any time — from any device. That visibility used to require a quarterly visit to an accountant. It is now available continuously, provided the books are being kept properly.
📅
Year-round
Audit and grant readiness
A Revenue audit, a grant application or a bank lending request can arrive without warning. Cloud-based books that are reconciled and current every month mean you are far better placed to respond quickly. Businesses that only update their records at year-end are always one request away from a stressful, expensive catch-up exercise.
The technology does not do the bookkeeping for you — it makes good bookkeeping faster and more accessible. Bank feeds still need to be reviewed, transactions still need to be coded correctly, and VAT still needs to be tracked accurately. That is what Forti does every month.

Bookkeeping for Sole Traders and Limited Companies

The record-keeping requirements differ between structures. Forti handles both — with the same monthly discipline and the same cloud-based approach.

👤Sole Trader Bookkeeping
Income and expense records kept current for your annual Form 11 return
VAT records maintained where you are registered — thresholds are €85,000 for goods and €42,500 for services (Revenue.ie)
Bank reconciliation each month so receipts and payments match
Capital purchases and assets recorded for capital allowance purposes
Clean records mean a faster, lower-cost Form 11 at year-end
🏢Limited Company Bookkeeping
Full double-entry bookkeeping — not just a cash record
Director's loan account maintained and reconciled each month
PAYE, employer PRSI and VAT control accounts kept separate and balanced
Fixed-asset register updated for additions, disposals and depreciation
Trial balance and management accounts produced from the same data that feeds year-end accounts and CT1

What Is Included in the Monthly Bookkeeping Service

Core bookkeeping and annual compliance services — exact inclusions depend on your plan. Management accounts and payroll are available on specific plans or as add-ons.

🏦
01
Bank and card reconciliation
Every bank account, credit card, Stripe, PayPal and payment-platform feed matched to the supporting transactions. Unreconciled balances flagged before they accumulate.
📥
02
Sales and purchase invoice posting
Sales invoices, purchase bills and receipts coded to the correct accounts and VAT rates. E-commerce sellers: marketplace settlements reconciled to gross sales, fees and net payouts — not just the bank deposit.
🧾
03
VAT records and return preparation
Input and output VAT tracked throughout the period. VAT3 return prepared from the reconciled books at the end of each bi-monthly period and submitted to Revenue on time via ROS.
📊
04
Management accounts (Growth plan)
Monthly profit and loss, balance sheet and cash-flow summary. Included in the LTD Growth package — the same data that feeds grant applications, investor decks and bank lending conversations.
👤
05
Director's loan account
Money a shareholder/director takes out of the company outside salary, expenses or properly declared dividends is recorded as a director's loan. For many owner-managed companies, Section 438 TCA 1997 can require the company to account for Income Tax on loans or advances to participators. Forti monitors the balance monthly so potential tax and company-law issues are identified early.
🏛
06
Annual accounts and CT1
Because the books are maintained monthly, the annual financial statements and Corporation Tax return are prepared from a clean, reconciled general ledger — not rebuilt from scratch at year-end. See also CRO Annual Return and audit exemption →

How the Monthly Bookkeeping Works

Five steps from onboarding to ongoing monthly work — designed so you spend as little time on admin as possible.

1
Onboarding call
We review your current records, software, bank accounts and transaction types before setting anything up.
2
Software set-up
Chart of accounts, bank feeds, VAT settings and receipt capture configured in your preferred system. Set-up quoted separately.
3
Historical clean-up
Where records exist from earlier periods, we reconcile them to the current date before ongoing work begins.
4
Monthly bookkeeping
Transactions coded, bank feeds reconciled, VAT tracked and director accounts maintained every month.
5
Year-end and returns
Annual accounts, CT1, B1 and VAT returns produced from the same clean records — no reconstruction needed.
Historical bookkeeping clean-up — where records are missing or unreconciled for earlier periods — is quoted separately after an initial review. Ongoing monthly work begins once the starting position is agreed.

Cloud Accounting Software

Forti works across the main cloud accounting platforms used by Irish businesses. You keep the software you already have, or Forti advises on the right fit for your business type and transaction volume.

✦
Xero
Ireland's most widely used cloud accounting platform. Direct bank feeds from all major Irish and UK banks. VAT, payroll and expense modules built in. Financial reports available in real time from any device. Forti works in Xero daily across the client base — the chart of accounts and VAT codes are configured to match Irish Revenue requirements.
Most common among Forti clients
📘
QuickBooks Online
A strong option for sole traders and small limited companies. Good bank feed connectivity, automated rules for recurring transactions, and straightforward VAT return preparation. If you are already on QuickBooks, Forti works within your existing account without requiring a platform switch.
Supported
🔷
Sage
Used by a number of established Irish businesses, particularly in trade and construction. If your bookkeeping is already set up in Sage and the chart of accounts is correctly structured, Forti can continue working within it. Sage Business Cloud and Sage 50 both supported.
Supported
📱
Receipt capture and document management
Receipt and document capture is available directly or through integrated tools, depending on the platform and subscription level. Photograph a receipt on your phone and it matches to the relevant transaction — no paper pile, no lost invoices. Forti reviews and confirms the coding as part of the monthly reconciliation.
Built into all supported platforms
Initial software set-up and configuration is quoted separately — it is not included in the monthly plan price. If you are migrating from one platform to another, migration costs depend on the system and the volume of historical data involved. Forti advises on the most practical approach before any work begins.

What We Need From You Each Month

Most of this flows automatically through bank feeds and receipt capture once the system is set up. The manual items are minimal and confirmed during onboarding.

🏦 Bank and payment accounts
  • Bank account statements or live bank feed via your accounting platform
  • Business credit card statements
  • Stripe, PayPal, Square or other payment-platform reports
  • Amazon, Shopify or marketplace settlement reports (e-commerce clients)
🧾 Invoices and receipts
  • Sales invoices issued during the month
  • Purchase invoices and supplier bills received
  • Receipts for business expenses — fuel, travel, materials, subscriptions
  • Payroll summary from your payroll provider or Forti (if payroll is included)
📋 Revenue and compliance
  • Payroll information — where payroll is run by Forti, the payroll system retrieves the latest Revenue Payroll Notification (RPN) directly; where payroll is run separately, a monthly payroll summary is needed
  • VAT-registered supplier invoices to confirm deductible input VAT
  • Any correspondence from Revenue or CRO received during the month
💼 Business transactions
  • Director loans — any money put in or taken out of the company during the month
  • Asset purchases — equipment, vehicles or fixtures bought during the period
  • Loan drawdowns or repayments where a business loan is in place

VAT and Bookkeeping: What Irish Businesses Need to Know

VAT is where bookkeeping errors most commonly surface — and where Revenue is most likely to issue assessments. Getting it right from the first transaction is simpler than correcting months of misposted entries later.

📋
When do you need to register for VAT in Ireland?
Registration is mandatory once your turnover exceeds — or is likely to exceed — €85,000 for goods or €42,500 for services in any 12-month period. These thresholds apply from January 2025. You can also register voluntarily below the threshold, which allows you to reclaim input VAT on business purchases. Revenue guidance on VAT registration →
📅
How often are VAT returns filed?
Most Irish businesses file bi-monthly VAT3 returns — January/February, March/April, May/June, July/August, September/October, November/December. Returns and payments are due by the 23rd of the month following the period end when filing online via ROS. Some businesses qualify for annual or four-monthly filing based on their liability. Forti monitors your filing frequency and manages every return. Revenue guidance on filing VAT returns →
🔄
What is the VAT RTD and who has to file it?
The Return of Trading Details (RTD) is an annual summary of all goods and services sold and purchased, broken down by VAT rate. Every VAT-registered business must file it once a year. It reconciles against the VAT3 returns filed across the year and is a common trigger for Revenue queries when figures do not match. Forti prepares and files the RTD as part of the annual compliance cycle.
🌐
Reverse charge VAT on services received from abroad
Irish businesses receiving certain taxable services from suppliers established outside Ireland — a Google Ads account, a Shopify subscription, a foreign consultant — generally have to self-account for Irish VAT under the reverse-charge rules where the place of supply is Ireland. The VAT is included as output VAT in the return and may also be deductible as input VAT, but only to the extent the business has an entitlement to recover VAT. Importantly, there is no turnover threshold for this obligation — even businesses not otherwise VAT-registered can have a registration requirement when receiving taxable services from abroad. This is one of the most frequently missed VAT obligations in bookkeeping.
🛒
VAT for e-commerce and OSS
Irish businesses making intra-EU distance sales of goods, or certain cross-border B2C digital or TBE services, may become liable to account for VAT in the customer's EU member state. A combined EU-wide €10,000 threshold can apply in certain circumstances. Once the threshold is exceeded, the business can generally use the Union One Stop Shop (OSS) to report and pay VAT due in other member states through a single Irish OSS return — rather than registering separately in each country. Different rules apply to imported goods, marketplaces and certain other services. Forti handles OSS registration and return preparation for e-commerce clients alongside standard Irish VAT compliance. VAT registration and OSS support →
⚠️
Common VAT mistakes in Irish bookkeeping
The most frequent errors Forti corrects when taking over existing books: input VAT claimed on entertainment expenses (not deductible); VAT claimed without a valid VAT invoice; incorrect VAT rates applied to mixed-rate supplies; reverse charge VAT omitted on overseas purchases; and VAT reclaimed on motor vehicles where there is personal use. All of these can result in Revenue assessments plus interest from the date of under-declaration.
VAT compliance questions specific to your business — rates, registration timing, cross-border obligations — should be confirmed with Forti before the first return is filed. Contact Forti →

Why Irish Businesses Choose Forti for Bookkeeping

Four things that separate disciplined monthly bookkeeping from a year-end scramble.

01
One connected record
The same bookkeeping data supports your VAT return, management accounts, grant application, annual financial statements and CT1 — all from one clean source. Nothing is reconstructed or duplicated.
02
Fixed monthly price
You know the cost before work starts. No hourly billing, no surprise year-end invoice. If your transaction volume changes materially, the fee is reviewed and agreed before it changes — never retrospectively.
03
Maintained with Revenue compliance in mind
Forti maintains the books with correct VAT coding, accurate director loan accounts and reconciled control accounts — records that are structured for compliance rather than catch-up work done in a hurry.
04
Direct team access
You deal with the bookkeeping team that knows your company. Questions are answered in context — not by a general helpdesk reading your file for the first time. Forti's team is led by Erin, with ongoing support from Pradeep Dabas as the engagement partner.

Common Bookkeeping Mistakes That Cost Irish Businesses

Leaving reconciliation until year-end
Missing receipts, unmatched payments and months of unreconciled bank activity make year-end accounts slower and more expensive. Errors that would have been obvious in the month get buried under twelve months of transactions.
Mixing personal and business spending
Personal transactions in the business account create incorrect VAT claims, inaccurate profit figures and director loan account problems that take time to unpick — and can attract Revenue scrutiny.
Posting only the net bank deposit for online sales
E-commerce sellers often record only the net payout from Shopify or Amazon. Gross sales, platform fees, refunds and chargebacks all need to be recorded correctly — or VAT, revenue and margin figures are all wrong.
Ignoring the director's loan account
Money taken from the company by a shareholder/director outside salary, expenses or properly declared dividends creates a director's loan. For many owner-managed companies, Section 438 TCA 1997 can require the company to account for Income Tax on loans or advances to participators — potential tax and company-law consequences that are far easier to manage when the account is reconciled monthly rather than reviewed for the first time at year-end.
Claiming VAT on non-deductible items
Entertainment expenses (generally non-deductible for VAT), passenger motor vehicles (where VAT is generally non-deductible regardless of use, subject to limited exceptions for qualifying vehicles and stock-in-trade), and items without a valid VAT invoice are common sources of incorrect VAT claims. A Revenue audit that finds a pattern of over-claimed input VAT can result in assessments and interest.
Using accounting software without a proper set-up
Xero or any other package configured with the wrong VAT codes, chart of accounts or bank feeds produces clean-looking reports that are factually wrong. The problem is invisible until the accounts are prepared — at which point it is expensive to fix.

Common Questions About Bookkeeping in Ireland

The questions Irish business owners ask before choosing a bookkeeping service. For a full index of Irish tax and compliance terms, see the Irish Business Glossary and FAQ hub.

How much does bookkeeping cost in Ireland?
For limited companies, Forti's LTD Starter package starts at €195 + VAT per month and includes monthly bookkeeping, VAT return preparation, annual financial statements, CT1 and the CRO Annual Return (B1). The LTD Growth package starts at €295 + VAT per month and adds monthly management accounts, a dedicated accountant and higher transaction volume support. Sole trader packages start from €165 + VAT/month →
What is included in the monthly bookkeeping service?
Bank and card reconciliation, sales and purchase invoice posting, VAT records, VAT3 return preparation and filing, director's loan account maintenance, and a year-end-ready file from which annual accounts and CT1 are prepared. Management accounts are included in the Growth package.
Does Forti only work with Xero?
No. Forti supports Xero, QuickBooks Online and Sage, as well as other platforms on request. Xero is the most common platform among Forti's client base, but if you are already set up in QuickBooks or Sage, Forti works within your existing account. Initial set-up and configuration of any platform is quoted separately — it is not included in the monthly plan price.
What is the difference between bookkeeping and accounting?
Bookkeeping is the ongoing process of recording and reconciling transactions — invoices, payments, bank feeds and receipts — every month. Accounting uses those records to produce financial statements, tax returns and management reports. Forti handles both, from the same monthly data.
How long must I keep business records in Ireland?
Revenue requires Irish businesses to retain books and records for six years from the end of the accounting period to which they relate. Electronic records are generally acceptable where they remain accurate, accessible and reproducible. Note that VAT guidance indicates paper-issued invoices should ordinarily be retained in paper form. Forti maintains your cloud records but responsibility for original paper documents remains with the client.
Can Forti take over from my current bookkeeper or accountant?
Yes. Forti handles transitions mid-year. The process involves reviewing the current records, establishing the opening position and agreeing any historical clean-up work before monthly services begin. Your previous accountant's cooperation is requested but Forti can work from the records available.
Does bookkeeping include VAT returns?
Yes — VAT return preparation and filing is included in every Forti bookkeeping package where the business is VAT-registered and a return is due. The VAT3 return is prepared from the reconciled books and filed with Revenue bi-monthly. Pre-revenue and non-VAT-registered businesses will not have a VAT return obligation.
What is a director's loan account and why does it matter?
A director's loan account records money a shareholder/director puts into or takes out of the company outside of salary, expenses or properly declared dividends. For many owner-managed companies, Section 438 TCA 1997 can require the company to account for Income Tax on loans or advances to participators — the rules are complex and both tax and company-law consequences can apply. Forti maintains and reconciles the account monthly so the position is always visible and any issues can be identified early.
What does bookkeeping cost if I have e-commerce sales?
E-commerce bookkeeping requires additional reconciliation work — platform settlements, marketplace fees, refunds and cross-border VAT are more involved than a standard service-business book. Forti's E-Commerce Starter package starts at €195 + VAT per month and is purpose-built for Shopify, Amazon and multi-channel sellers.
Do I need a bookkeeper if my business is pre-revenue?
Yes. The period before trading starts still generates transactions — setup costs, director loans, share capital and VAT on qualifying purchases (where recoverable). Recording these correctly from the first transaction is far simpler than reconstructing them later. Revenue also allows qualifying pre-trading company expenses incurred in the three years before commencement to be deducted for Corporation Tax purposes, subject to normal conditions — another reason clean early-stage records matter.
How does payroll fit with bookkeeping?
Payroll is available as an add-on at €30 + VAT per employee per month. When Forti runs both bookkeeping and payroll, the payroll journals post directly into the books — no duplication, no manual entry, and the employer PAYE control account reconciles automatically each month.
Can Forti prepare management accounts from my bookkeeping?
Yes — management accounts are included in the LTD Growth package. They are produced monthly from the same reconciled records as the VAT return and annual accounts. The package includes profit and loss, balance sheet and cash-flow summary each month.
